Step 1 – Create a New Sourcing Request
- Open the Sourcing Requests module.
- Click Create Request.
- Complete the information in the four-step wizard:
- Request Title
- Business Unit
- Required Completion Date
- Criticality (Critical, Moderate or Non-Critical)
Tip: Your request is automatically saved as a Draft while you work, so you can leave and return at any time. If you hit CLOSE this saves the changes you have made (it does not cancel or close down the request)
Step 2 – Complete the Requirements
Enter the information required to describe your sourcing requirement, including:
- Category
- Requirement description
- Estimated spend
- Additional business information
Step 3 – Add Suppliers & Attachments
Where applicable:
- Suggest preferred suppliers
- Upload supporting documents
- Add any additional information to assist Procurement
Step 4 – Review Your Request
Before submitting:
- Review all entered information
- Confirm everything is accurate
- Make any required amendments
Step 5 – Submit the Request
Click Submit.
The request status changes from:
Draft → New
The request is now sent to Procurement for review.
Step 6 – Track Progress
Use the Dashboard to monitor your request.
You can:
- Search by request number or title
- Filter by status
- Filter by date
- View requests by Criticality
- See unread messages
- View comments
- Monitor current status
Step 7 – Communicate with Procurement
Open the request and use the built-in Chat.
You can:
- Respond to questions
- Provide additional information
- Receive updates
- View the complete communication history
Unread messages are highlighted on the Dashboard.
Step 8 – Understand Request Statuses
| Status | Meaning |
|---|---|
| Draft | Request is being prepared |
| New | Awaiting Procurement review |
| Approved | Request has been accepted |
| Declined | More information or changes required |
| Cancelled | Request withdrawn |
Step 9 – Cancel / delete a Request (if required)
If the request is no longer needed:
- From the dashboard find the request
- Select the Bin icon from the sourcing request tab.
- When prompted to confirm the DELETE click yes.
The status changes to Cancelled and is only available when the request is at status NEW or DRAFT.
